The Legal Assistant supports the Development Counsel in all aspects of providing internal legal counsel to Uniland.  The Legal Assistant works closely with all members of the department in undertaking clerical and administrative responsibilities to support the department.

Essential Duties & Responsibilities

  • Prepares initial drafts of commercial leases, amendments, and related contracts utilizing various internal contract templates.
  • Uses MS Word to process changes to complex real estate, corporate and legal documents during contract negotiations.
  • Uses MS Word to track changes and redline multiple versions of documents.
  • Uses automatic number features in MS Word to create documents capable of progressing through multiple drafts without continued renumbering.
  • Uses MS Word to prepare tables and charts where/when appropriate in order to organize information.
  • Maintains all legal forms utilized by Development Counsel; revisions as necessary.
  • Understand and utilize legal terminology.
  • Transcribes dictation by machine from hand-written notes or voice recordings.
  • Uses email to correspond with and distribute documents to outside lawyers and executives on behalf of the Development Counsel.
  • Maintains all correspondence, interoffice memos, meetings and notes for the Development Counsel.
  • Maintains open files and files material in appropriate area(s).
  • Photocopies and files all department correspondence and other records.
  • Maintains and organizes electronic records of real estate, corporate and legal documents.
  • Answers telephone and provide relevant information to callers or route calls to appropriate individual.
  • Schedules interoffice and client’s meetings, conference calls and conference room usage as needed.
  • Is friendly, helpful, and responsive through attitude and behavior. Acts in a professional manner with all internal and external clients.
  • Ability to work in a demanding, high volume environment, with a strong focus on adherence to deadlines and accuracy in work product.

EDUCATION and/or EXPERIENCE

  • Degree from a two or four-year College; and at least three years’ related experience.

PROFESSIONALISM

  • Must be able to perform in a friendly, helpful, and professional manner with all clients, visitors and co-workers.

LANGUAGE SKILLS 

  • Excellent grammatical and reading comprehension skills and a strong focus on attention to detail in all documents.
  • Ability to read and comprehend legal instructions, correspondence and memos necessary to assist with the Development Counsel’s responsibilities.
  • Write professional and concise correspondence.

 COMPUTER SKILLS

  • Maintains ongoing knowledge of all systems and assist the department in doing the same.
  • Uses systems to highest efficiency levels.
  • Continually improves skill and accuracy in using software applications.

MATHEMATICAL SKILLS 

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent.

REASONING ABILITY

  • Solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
